FIRST MOTION: I move for a second reading of an Ordinance approving the award of Bid No. 2020-006 for the purchase of asphalt base and surface for an initial term of one year, with up to four, one-year renewals, to Vance Brothers, Inc. and authorizing the City Manager to execute an agreement for the same.
SECOND MOTION: I move for adoption of an Ordinance approving the award of Bid No. 2020-006 for the purchase of asphalt base and surface for an initial term of one year, with up to four, one-year renewals, to Vance Brothers, Inc. and authorizing the City Manager to execute an agreement for the same.
Background:
Asphalt base and surface materials are purchased on a near daily basis to maintain and repair public streets. Asphalt material is used to make small pothole repairs as well as medium and large street failure repairs. A bid was developed with input from Public Works and issued by the Procurement and Contract Services Division. The bid was posted on the City's website and the e-procurement site, Public Purchase. The City received one (1) bid from Vance Brothers, Inc. Vance Brothers, Inc. was awarded the previous contract. Pricing per item decreased from the previous contract with the exception of two line items.

Vance Brothers, Inc. operates their plant year round that allows us access to their product during the winter months.
Vance Brothers, Inc. asphalt plant is able to produce a variety of products on demand, which allows the City's crews access to the products needed to complete work orders.
