Title

An Ordinance authorizing the City Manager to execute the order form for the subscriptions with Workday for a not to exceed amount of $250,689 in FY26 to include software modules enabling the City to obtain the strategic sourcing expert, Workday contract lifecycle management, contracts, intelligence and 5 custom AI models and further authorizing the City Manager to execute any subsequent documents necessary to obtain the same services for the term of the main subscription agreement subject to fiscal year budgets.

Body

Issue/Request:

An Ordinance approving the award of the Workday Order Form

Key Issues:

-Enhance the City's Workday ERP system to expand the services to include Strategic Sourcing Expert; Workday Contracts Lifecycle Management and 5 Custom AI Models.  The additional modules enhance the current Workday subscriptions as well as add additional features for processing contracts and managing suppliers to further improve process enhancements and improvements in internal controls

-Terminated the Strategic Sourcing Essentials and replaced with Strategic Sourcing Expert

-Funding included in the FY26 General Fund Budget

-Main Subscription Agreement term was 10 years.  The subject subscriptions will be aligned with the Subscription Fees for the remaining 9 years of the Main Subscription Agreement.

Proposed Committee Motion:

I move to recommend to City Council for approval of an Ordinance approving the Workday Subscription Agreement, to expand the Workday Enterprise Resource program, and authorizing the City Manager to execute the same for the City.
