Issue/Request:

An Ordinance authorizing the purchase of equipment to outfit eleven (11) police vehicles that are up for replacement, using the current equipment contracts for the purchase and for a total estimated cost of $88,875.89 and authorizing the City Manager to execute all related and necessary documents.

Key Issues:

The Police Department, in coordination with The Fleet Division, manages the replacement of police vehicles on a cycle. We will need to replace (11) police vehicles which have reached their useful life cycle and purchase the updated equipment to outfit the replacement vehicles.

Equipment is purchased and installed by Ka-Comm, Inc.-LS Contract #2023-038-3R and the estimated cost to outfit the replacement vehicles with the proper equipment is $88,875.89.

Background:

The contracts for this purchase have been previously approved, and City Council previously approved the funding for this purchase. Contract #2023-038-3R remains in effect until January 30, 2027. The Police Department is seeking approval to use the approved contracts to purchase the equipment using City Council approved funding within the budget. Section 4 of the Procurement Policy requires City Council approval to use these Council approved contracts where the anticipated annual spend is $75,000 or more regardless of whether the City Council already approved the budget.
