Issue/Request: 

An Ordinance approving the purchase and installation of office furniture and furnishings by Pure Workplace Solutions as needed for the South Police Substation and authorizing the City Manager to execute all necessary documents on behalf of the City.

 

Key Issues:

 The City of Lee's Summit, Missouri (the "City")has a need to purchase furniture for the South Police Substation project.

 

 Section 6.1 of the Procurement Policy allows the City to make purchases from contracts that were originally procured by another entity but have extended the pricing and terms of such contract to other entities such as the City.

 

 The City desires to purchase furniture and furnishings as reflected in the Proposal from Pure Workplace Solutions attached hereto as Exhibit "A"

 

 Council approval is required for any expenditure over $75,000 and the proposal spends $81,488.63, with possible additional costs due to tariffs, duties, or surcharges that may be imposed by governmental authorities after the date of the proposal.

 

 

Proposed Committee Motion:

I move to recommend to City Council approval of an ordinance approving the purchase of systems and office furniture for the South Police Substation in the amount of up to $120,000.00 and authorizing the City Manager to execute all related and necessary documents. 

 

Background:

Funding for this furniture is included in the 2023 No Tax Increase Bond allocation for Project 1046 - Renovation of old Fire Station 5 as a police substation. Pure Workplace Solutions' furniture line and installation methodology has been used with several city departments.  The continued use of this company provides standardization and consistency across the city departments.  This is beneficial when CBS is called upon to repair or reconfigure a workspace.  

 

Omnia Partners offers a cooperative purchasing agreement method focusing on efficiency, compliance, and value. Using the cooperative agreement gives the City the power of group purchasing resulting in better pricing on the site furniture than buying directly from a vendor or through a design firm.  

 

Timeline:

Start: May 2025 place order

Finish: Anticipated delivery of furniture June 25th, 2025.

Recommendation

Staff recommends approval of a contract with Pure Workplace Solutions to provide furniture for the South Police Substation project and authorizing the City Manager to execute the same on behalf of the City.
