Issue/Request:
AN ORDINANCE APPROVING THE EXTENDED SUPPORT AGREEMENT FOR THE LAWSON ENTERPRISE RESOURCE PLANNING SYSTEM BY AND BETWEEN INFOR (US) INC. (FORMERLY LAWSON SOFTWARE AMERICAS, INC.) AND THE CITY OF LEE'S SUMMIT, MISSOURI IN THE AMOUNT OF $28,755.11 AND AUTHORIZING THE CITY MANAGER TO EXECUTE THE SAME BY AND ON BEHALF OF THE CITY.
Key Issues:
In order to maintain product support of the City's Enterprise Resource Planning system, the City must purchase from Infor (formerly Lawson) Extended Support for services from June 1, 2016 - May 31, 2017. The current version of the software the city is running moved from mainstream support to extended support effective June 1, 2016, and a premium is now being charged to clients to obtain this support.
This Ordinance authorizes the City to purchase extended support services from Infor as set forth in the attached Order Form for an amount of $28,755.11 and authorizes the City Manager to execute said Order Form.

(FORMERLY LAWSON SOFTWARE AMERICAS, INC.) AND THE CITY OF LEE'S SUMMIT, MISSOURI IN THE AMOUNT OF $28,755.11 AND AUTHORIZING THE CITY MANAGER TO EXECUTE THE SAME BY AND ON BEHALF OF THE CITY.
SECOND MOTION: I move for adoption of AN ORDINANCE APPROVING THE EXTENDED SUPPORT AGREEMENT FOR THE LAWSON ENTERPRISE RESOURCE PLANNING SYSTEM BY AND BETWEEN INFOR (US) INC. (FORMERLY LAWSON SOFTWARE AMERICAS, INC.) AND THE CITY OF LEE'S SUMMIT, MISSOURI IN THE AMOUNT OF $28,755.11 AND AUTHORIZING THE CITY MANAGER TO EXECUTE THE SAME BY AND ON BEHALF OF THE CITY.
Background:
The City currently utilizes the Lawson Enterprise Resource Planning system for Finance, Procurement, Human Resources, Payroll, and Budgeting services. This system was installed in 2011-2012 with associated software maintenance. The vendor, Infor, continues to upgrade the system in order to provide additional features, improvement, and product fixes. Infor allowed the City's current version to be supported for a period of 4 years before moving into a one year extended support agreement. During the one year extended support, the City is required to upgrade to a more current release of the product, which is budgeted for in the FY2017 budget.
Impact/Analysis:
If the City does not acquire the extended support, any product issues found needing assistance from the software provider will not be addressed. This could have far reaching impacts in the area of our Finance and Procurement Services, and Human Resources and Payroll services.
This expenditure will be covered using previously budgeted funds in the ITS fund, Accounting unit 6208875044.
There is no general fund impact for this purchase.
